SharePoint: Experts - Document Management

This expert training builds on the advanced course and has a deep focus on document libraries and document management in UZH Intranet.  
 
By the end of this hands-on course, participants will understand the deep technical features of SharePoint Online for effective content management required for UZH-Intranet. Participants will gain the skills at an expert user level to maintain their document management, including content types, site columns, metadata for better categorisation and filtering, as well as search optimisation to take the user experience to the next level. 
 
You may take this expert-level course if you have already attended the advanced course (live or recorded) or if you already have in-depth experience working with SharePoint Online. 

General information

Duration 3 hours
  • Document libraries, including their structure, features, and good practices for managing and organising files. 
  • Library settings: From the library’s settings menu, configure critical settings like versioning, content approval, and check-out/check-in. 
  • Automate processes using Power Automate and SharePoint workflows. 
  • Work with metadata and content types. 
  • Strategies for long-term maintenance of document libraries, including regular audits, workflow adjustments, and ensuring the sustainability of the document management system over time. 
Before taking this course, please ensure you have the following knowledge: 
  • Managing the content on the site. 
  • Working and managing document libraries. 
  • Configuring alerts. 
  • Moving files (migration of files and site content). 
  • Sharing the document and checking the permissions. 
  • Synchronising with OneDrive. 
 
You will also need a computer and a Microsoft 365 account from the University of Zurich. 
SharePoint Online site owners for faculties, departments or offices and content managers of UZH-Intranet who have already attended the SharePoint Advanced course or who already have extensive experience in working with SharePoint Online, Microsoft Lists and their integration.
At the end of the course, participants will be able to: 
  • Utilise SharePoint Online to manage documents, lists, and libraries effectively within the context of the UZH Intranet. 
  • aintain and manage document libraries at an expert user level, ensuring long-term efficiency, compliance, and smooth operation of the UZH Intranet’s document management system. 
After the course, the participants will receive the slides, labs and access to the test environment. 
In this hands-on course, you will learn practical examples of how to effectively manage and design your UZH intranet site in SharePoint using advanced user options.
